GRIP · Our approach

From chaos to control

With a method that works

Three quarters of contracts are not actively managed. That costs value.

Healthcare Education Government Structured, proven approach
The challenge

Does this sound familiar?

Contracts in Excel
No central overview, data that quickly becomes outdated.
Unclear ownership
Nobody knows who is responsible for which contract.
Silent renewals
Missed notice periods cost unnecessary money, year after year.
Knowledge gaps at staff turnover
Knowledge disappears when people leave. Proper file building is missing.

From contract administration to contract management

The step most organizations have not yet taken

Many organizations have their contract administration in order: contracts are registered (Excel, ERP, spend or FMIS system), there is an end-date reminder and someone who keeps track of it. A good foundation, but not contract management. The difference lies in what you do after signing. Contract management is active: safeguarding, measuring, steering and securing value.

Contract administration Contract management
Registering and storing contracts Steering on compliance and performance
Tracking deadlines in Outlook Actively monitoring with automated alerts
Supplier calls when something goes wrong Proactively monitoring through KPIs and scorecards
Renewing the contract when it expires A deliberate choice: renew, renegotiate or terminate
Ownership unclear Every contract has a contract owner
Value leaks away ‘Getting what is agreed’
The approach

From discovery to full implementation

Our approach is inspired by recognized methodologies such as NEVI CLM and the CATS CM maturity model, aimed at preventing the ‘leakage of value’ from contracts. We translate these principles into a step-by-step approach that builds on what is already there, without overloading the organization.

Not every organization needs all the steps. Do you already have the basics in order? Then a direct software implementation with GRIP is also possible.

Phase A
Discover
Step 01–03
01
Discovery session
Half a day, everyone aligned, a shared vision as the starting point.

In a half-day session we map out together which contracts exist, how they are currently safeguarded, and what the biggest pain points are for management and operations. Contract management is not an administrative task. It is an organizational challenge.

02
Collecting and centralizing contract data
Field work. All contracts in one place. The foundation for everything that follows.

In coordination with the right contacts per department, all available contracts and related information are collected, bundled and structured. This field work is often underestimated until it is too late.

03
Quickscan and getting contract administration in order
Portfolio mapped out (red, orange, green) with a top 10 that needs immediate attention.

Our advisor inventories and qualifies the full portfolio. Red: expires within 3 months. Orange: above €25,000 and not actively managed. Green: up to date and under control. Result: a complete overview and a top 10 priority list.

Phase B
Set up
Step 04–07
04
Risk inventory and contract classification
A contract matrix that shows which contracts need active management.

Based on contract value, renewal risk, compliance risk, indexation sensitivity and SLA complexity, we map out the contract matrix. This makes risks and value visible.

05
Contract ownership and organization
Pillar 1: every contract gets an owner who is responsible for the full lifecycle.

Roles and responsibilities are defined: who does what, who steers, who is ultimately responsible. Without clear ownership, everything stalls.

06
A tailored roadmap to the right maturity level
A realistic path from ad hoc to structured and optimized, tailored to your organization.

Together we determine a realistic path based on the CATS CM and NEVI maturity model, from ad hoc to structured and optimized. No big bang, no unrealistic ambitions. Step by step, tailored to the context of your organization: public or private, healthcare, education or government.

07
Connecting to your current IT landscape
GRIP is not a replacement. It is the contract management layer on top of what is already there.

We map out where contracts are currently safeguarded: ERP, spend or FMIS system, SharePoint or elsewhere. We then build the integration so GRIP connects seamlessly to the existing systems.

Phase C
Live and embed
Step 08–09
08
Software implementation and performance management with GRIP
Dashboards and KPI monitoring: the core of ‘getting what is agreed’.

Now that contract administration and ownership are in place, GRIP connects. The contracts become directly visible in the software. This is how you start with active contract management: measuring, steering and improving.

09
Adoption: making sure it is actually used
No project fails because of technology. Adoption is what matters.

From targeted training and user videos to clear communication about the new way of working and guidance through the right channels. This way the change is not only implemented but also embedded.

What it delivers

Management and operations aligned

Five pillars of successful contract management: organization, contract administration, performance management, supplier management and relationship management. This approach lays the foundation for the first three, in the right order.

Contract administration as the foundation
Clear ownership and organization
Performance management: measuring and steering
Compliance risks identified and controlled
Never miss a notice period again
No more value loss from contracts
Who does what

One complete team, one approach

GRIP is the common thread running through the approach. Two specialized partners cover the human side, so you do not have to make the connection between field work, advice and tooling yourself.

Field work
In partnership with JRFM
Takes stock of and organizes contracts physically within your organization. Collects contract data from every department, the foundation for every quickscan.
Advice & restructuring
In partnership with ContractGrip
Advises on working methods, ownership and roadmap using proven methodologies for contract and supplier management. Embeds the approach within the organization.
Software & implementation
GRIP
GRIP delivers the contract management software: from IT landscape analysis and integration with existing systems to initial setup and full rollout.
