Kan jij nog herinneren wanneer je voor het eerst een email stuurde? Ik in ieder geval wel, er ging een wereld voor mij open. Iemand die ik met heel weinig moeite, snel kon bereiken. Dit zal ongetwijfeld ook de uitgangspositie van Ray Tomlinson zijn geweest, die in 1971 de allereerste email verstuurde. Vanaf 1995 werd het populair bij het grote publiek toen het internet meer algemeen toegankelijk werd en naar schatting worden er nu dagelijks 269 biljoen e-mails verstuurd voor verschillende doeleinde.
Hieruit kan geconcludeerd worden dat de email in de loop der jaren een hele succesvolle tool is geworden om te berichten. Als je inzoomt op de facilitaire branche, wordt de email veel gebruikt om intern met personeel te communiceren. Denk bijvoorbeeld aan het uitzetten van een actie, waarbij de deurklink gerepareerd moet worden of een ruimte die opnieuw schoongemaakt dient te worden. De email kan hiervoor gebruikt worden, alleen haal je hier lastig data uit.
Hoe kan je nu volgen of deze melding verholpen is? De medewerker kan het wel terug mailen maar dan alsnog heb je geen overzicht van alle openstaande acties en welke al afgerond zijn. De kans is ook aannemelijk dat de medewerker dit vergeet op te pakken en jij hem geen herinnering kan sturen omdat je dit niet helder op een rij hebt. Dit kan resulteren in dat de deurklink nog steeds stuk is en de kamer vies, niet wenselijk denk ik.
In zulke situaties is de email dus verleden tijd om volledig op te vertrouwen, het is in dit geval fijn om over een tool te beschikken waarin je acties kunt uitzetten en precies kunt volgen wat hiervan de status is. Gelukkig zijn er anno 2022 van dit soort tools, zet een actie uit, volg deze op de voet, stuur herinneringen als het nog niet is opgepakt en laat de medewerker het aangeven zodra het is afgerond (zelfs met foto).
Hierdoor heb je in één oogopslag inzicht in alle acties die al afgerond zijn of nog afgerond dienen te worden, analyseer hoe lang er wordt gedaan over een actie, worden KPI’s gehaald en of acties opnieuw terugkomen.
