The cleaning provider raised its rates with an indexation you could not verify, because the supporting figures were scattered across four Excel sheets, a mailbox and a PDF from 2022. And then your manager asks: is that provider actually performing in line with the SLA? You do not know. Before you start looking, choosing contract management software begins with one question: how much control do you gain over the content of your outsourced contracts, without it becoming an isolated island alongside your existing systems?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This piece builds on our earlier blog about the key features of contract management software, but turns the question around. Not: which features should a system have? Instead: which criteria really count when you manage outsourced services (cleaning, catering, security, maintenance)? Below is a selection framework you can complete yourself.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why most contract software does not fit outsourced services<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Most contract software is built for the phase before the signature. Contract lifecycle management (CLM) is about drafting, negotiating, e-signature and central storage. Useful if you close legal contracts every day. But a cleaning contract with monthly indexation and quality requirements is signed once. After that, you need to monitor for four years whether the agreements are being met.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is where the difference lies. An e-signature platform does not help you when you want to know whether the VSR measurements on site are correct or whether the invoice follows the agreed index. The right question when choosing contract management software is not how quickly you sign, but whether you know what is in your signed contracts and whether that matches reality.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">GRIP deliberately sits in that third category: in-depth management of ongoing service contracts, as an addition to your ERP or spend system, not as a replacement.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The problem you really solve: from Excel to overview<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Most organisations come from Excel. That works until you reach around twenty contracts, or until a colleague leaves and the knowledge goes with them. A contract manager in healthcare or education quickly manages 40 to 200 outsourced contracts. In Excel that means: no overview of open actions, missed renewal dates, and disputes with providers without any supporting evidence.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Software only solves this when it does more than store documents. It is about monitoring agreements, not about keeping files. Take those two criteria into account in your choice.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Criterion 1: depth on contract content<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This is the main criterion when choosing contract management software for outsourced services. Does the software manage the content of the contract, or is it a shared document folder with a tidy search function?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depth means that obligations, performance agreements, recurring actions and responsibilities are recorded and monitored per contract. Not in your head, not in Excel.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So test a provider on this: can the system link an SLA agreement to a measurement and to an action? Or does it stop at uploading the PDF? If the latter is the case, you have bought a more expensive version of your SharePoint folder.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Criterion 2: performance measurement and indexation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">SLAs appear in almost every service contract. In practice, they rarely come to life. The software you choose must measure performance against the agreement, linked to the contract itself. That way you can demonstrate whether a provider delivers what was agreed, instead of guessing.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Indexation is the sharpest example of where generic software fails. A cleaning contract is indexed annually based on an agreed wage and price index. Does the increase the provider invoices match that agreement? Anyone who does not check this lets money leak away. Organisations that do keep financial management tight save an average of 8% per year. That earns back the investment in the software.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Can the software measure performance against the contractually recorded SLA?<\/li>\n<li>Does the system calculate indexations, or do you have to do that manually in Excel?<\/li>\n<li>Can you check invoices against the agreed index and volumes?<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Criterion 3: integration with your existing systems<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The biggest fear with a new purchase: yet another system that knows nothing about the rest. Understandably so. You already have AFAS, Spendcloud, Exact or an FMIS for the basic registration. A contract solution that stands apart from those creates duplicate work and shadow IT.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So check whether the software connects with your ERP, spend system and invoicing. A system that does not integrate is not an addition but an extra island.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Criterion 4: EU data location, security and supply chain responsibility<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For public sector, healthcare and education organisations this is a hard selection requirement, not a side issue. Where is the data stored? American contract software often stays silent on this. For Dutch organisations, data location within the EU counts, plus certification. GRIP is ISO 9001 and ISO 27001 certified, for quality management and information security respectively.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A concrete deadline comes into play. The Cybersecurity Act, the Dutch implementation of NIS2, takes effect on 15 August 2026 without a general transition period. Around 8,000 to 10,000 organisations are directly obliged. Part of this is supply chain responsibility: you must be able to demonstrate which security and continuity requirements are set out in your outsourced contracts and which agreements are still open. Software that manages contract content thereby becomes a means of fulfilling that duty of care. Managing outsourced service contracts is about the phase afterwards: monitoring agreements, performance, indexations and actions in ongoing service contracts.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Does contract management software replace my ERP or spend system?<\/strong><br>No. A solution such as GRIP is an addition. That starts with knowing which security and continuity requirements are set out in outsourced contracts. Software that manages contract content makes those agreements visible and monitorable.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Does contract management software deliver a measurable saving?<\/strong><br>Organisations that keep financial management tight save an average of 8% per year, mainly through control over indexations and volumes. In addition, a central overview saves around 30% of the time spent on contract administration, provided the process is set up properly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Where do I start when choosing?<\/strong><br>Start with the criterion of depth on contract content. A system that only stores documents does not solve your core problem.
